Bell Food Group Ltd, based in Basel, was founded in 1969. As the Swiss market leader in the processing of meat and convenience food, Bell Food Group Ltd employs around 12,000 people at 64 locations in 15 European countries. Since 2022, the Group has been divided into the divisions Bell Switzerland, Bell International, Eisberg, Hilcona, Hügli and Finance/Services.

The project

The Bell Food Group commissioned us to analyse and standardize their automated processes in SharePoint and to optimize them across all systems. In addition to optimizing the existing processes, new processes were to be implemented and automated in SharePoint 2013 with Nintex Workflow & Forms. The licensing of Nintex products was covered by Bell. The Bell Food Group defined a number of requirements in advance, which were then discussed with the customer.

Implemented use cases and solutions

Within the Bell Food Group's existing SharePoint environment, a number of processes have been implemented in recent years that cover a wide variety of use cases. In addition, new requirements have been implemented in new or existing workflows. Some of the use cases or solutions are listed below:

 

  • Invoicing using templates:
    Employees can submit invoices or enter credit notes. These invoices are checked for plausibility via an approval process. The accounting department can automatically create digital, bundled invoices from these manually submitted invoices and file and print them with the receipts. Other requirements that have been implemented in this solution are
      • Account assignment using predefined business cases
      • Automatic calculation of totals and VAT
      • Automatic translation / invoice creation in several languages

 

  • Procurement:
    Support for Bell Food Group internal procurement by setting up procurement requests (various SharePoint lists with own Nintex Forms) as well as automating the process and integrating the purchasing department to check the requests.

 

  • Management of pending tasks:
    This solution enables employees to manage their pending tasks. With the help of workflows, the responsible employees and supporters can meet the desired deadlines for completion. Various e-mails are sent and process steps are processed automatically (for example, a new deadline is requested or approved).

 

  • Further use cases:
    • Reminder function for the publication of quality and product documents prior to launch.
    • Collection of user data: Personal data such as telephone, e-mail address can be recorded and managed via a user-friendly form
    • Processing, selection and transfer of relevant customer data (SAP master data)
